SUCM 2/5 Meeting Notes & TCM Check In Questions

Here are the notes I took during tonight’s SUCM meeting.

We are just short of 80% of the council’s goal at this point; not sure if we will hit the goal based on the current trends.

In GSEP, there are 1,443 troops selling cookies this year!

We should try and switch our focus now and promote more booths for not only troops, but families as well.

Council-wide there are 7,864 booth slots that are in SmartCookies that do not have troops/families signed up for them. SUs are beginning to open up their booth slots, but many operate differently; some hold a weekly lottery for their weekend booths, where our SU did the lottery early and then make the rest a free-for-all.

Make sure that families are getting the opportunities to reserve booths; TCMs/troops need to sign-up on behalf of the families. Parents/guardians do NOT need to be registered to do a family booth.

Some TCMs create a “booth kit” that families can check-out, or provide a list of what you need when doing a family booth. For example, inside a tote you can have: a booth etiquette list, table cloth, donation bin, change ($60-$100), price sign w/ payment options, allergen sheet, step-by-step Digital Cookie instructions, a cookie tally sheet/booth control sheet, plastic bags, folding table, hand sanitizer, hand warmers, clear shower curtain/tarp to stack cases on ground, etc. This is NOT required to be put together by the TCM, but if you create a list to share with families that are interest in Family Booths, it will help them be prepared.

ALL booths (family or troop secured) still need to be run through the SUCM. There should always be permissions around all booths that are happening.

How can we encourage troops/families to keep going? Some SUCMs mentioned booth bingo, just having FUN in general, create a pitch for each individual cookie.

Remember booth etiquette at ALL locations, no matter where you are. You are representing Girl Scouts.

Planned Orders: orders are in CASES and not packages. Please pick up your planned orders; when it is not picked up, GSEP does get charged for it. The list of missed pick ups is getting longer (council wide). Anyone can go and pick up your planned orders! They just need to give the delivery people the troop number, and your pick-up person should also know exactly how many cases of each flavor is being picked up in case there are any issues.

3. I’ve noticed not many troops have entered their data into the booth divider in SmartCookies — does your troop do this at the end of the season to split cookies more evenly for an hourly rate, or how else are you doing this?
4. If you aren’t submitting Booth Reports here on StackTeam, is there a reason? It’s a helpful tool! If you don’t have the time, how can I make it easier for you?
5. How are the booth locations so far?
6. Remind your troop(s) about booth etiquette when setting up and cleaning up, especially if another troop is there before/after your reserved slot.
